Event Policies

The Office of Event Services policies provide guidelines to clients who want to use our venues that are scheduled and reserved by Event Services.  These policies are subject to change at anytime without notice.

Show Internal Event Management

How do faculty/staff/student clubs reserve space?
Use the online request form through Event Services. Students must submit through the Office of Student Life.

What are key deadlines?
Reservations should be confirmed 4–30+ days in advance depending on the date. Catering orders must be placed/cancelled 2–5 business days in advance.

Who pays for event charges?
The sponsoring department or student organization is responsible for costs (equipment, security, catering, etc.).

Show Events Hosted by External Clients

Can external organizations rent space at Canisius?
Yes, with approval through the Office of Event Services and adherence to all policies.

What’s required?
Insurance, possible background checks, space fees, and adherence to University guidelines on decorations, alcohol, and security.

Can Canisius cancel my reservation?
Yes, if space is needed for University priorities. Clients will be notified in advance when possible.

Show Alcohol at Events

Can alcohol be served at campus events?
Yes, with a proper license or permit and approval. Bartenders must be University-approved.

Are student events treated differently?
Yes. Wristbands, ID checks, advisor presence, and security are required. Alcohol cannot be the focus of the event.

Can I bring donated alcohol?
Only through approved distributors or wineries, and with proper documentation.

Show Activities Involving Minor Children

Who must follow the Minor Children Participants Policy?
All employees, students, and volunteers working with minors in University-sponsored programs.

Are background checks required?
Yes. All adults with direct contact must have a background check reviewed by HR every 3 years.

Are students allowed to supervise minors?
No. Students must always be supervised by a faculty/staff member.

Can staff be alone with minors?
No. One-on-one contact is prohibited unless explicitly authorized.

What do I do if I suspect child abuse?
Immediately report to law enforcement and follow University reporting protocols.
